Every home needs a property binder—a centralized way to track every task, piece of equipment, and warranty associated with your home. Whether you prefer a physical binder or a digital spreadsheet with links, it’s all about what works best for you!
Learn more about property binders and how to manage them below!
Who needs a property binder?
Anyone who owns a home should have a property binder. It’s your one-stop shop for everything related to your home, vehicles, and any other assets that require thorough documentation. At Girl Friday, we maintain a property binder for every home we manage. As the responsible party, I check the list weekly to stay on top of tasks and set phone reminders for upcoming duties.
What key information should be included in a property binder?
A property binder should include:
Interior + exterior home tasks: Replacing water filters, polishing furniture, washing windows, etc.
Outdoor tasks: Aerating and overseeding in the fall, cleaning gutters, etc.
Subscriptions: Services required to keep the property stocked.
Warranty information: For all indoor and outdoor equipment and appliances.
Vehicle maintenance records: Tire replacements, tag renewals, etc.
Vendor contacts: Current service providers and task responsibilities.
Notes: what is the home owner's favorite cut flower
How often should a property binder be updated?
Update your property binder every time a task is completed. For instance, record the date when the furnace filter was last replaced and set a reminder for the next replacement. This way, nothing gets overlooked!
How do you organize sections in a property binder for easy access to essential documents and contacts?
We use online spreadsheets for each property we manage, with separate tabs for:
Service Task Management
Subscriptions
Fall/Spring Deep Cleaning Tasks
Warranties (PDFs of warranty documents are uploaded to Google Drive and linked to the spreadsheet.)
Vehicles
Notes
